Instructions to the graduating students

Clearing the Dues

  • Check your dues at the SWD Website before starting registration for Convocation 2025. Registration will not be allowed if you have dues on the SWD portal.
  • Clear your dues well before registration. The dues clearance through SWD usually takes around 2-3 days.
  • You must clear your dues in time for successful registration before the last date

Registration & Accommodation

  • To attend the Convocation ceremony, you must register through the given registration link.
  • Pay the registration fees online through Credit/Debit Card & Net Banking/UPI. Demand Draft and Challan are not acceptable.
  • Registration will be completed only when you pay the registration fees.
  • On-the-spot registration is NOT allowed.
  • The on-campus accommodation in the hostels is available. The details will be shared later.
  • The accompanying persons can join the convocation lunch after a proper registration.

The Rehearsal Day is 12th July 2025

  • The Registration Counter will be operational from 9:00 am to 12:30 pm on 12th July 2025. Get a registration kit from the Registration Counter. Plan your travel accordingly.
  • Registration kit will only be given to registered candidates.
  • Collect your convocation gown from the registration counter by depositing Rs. 1000/- (refundable).
  • Please check the kit that contains the following items:
    • Convocation booklet (Link will be available soon)
    • Student Pass with Lanyard
    • Lunch Coupon(s) with assigned mess details for official Lunch after the Convocation ceremony.
    • Oath Card
    • T-shirt/Memento
    • Convocation Gown that has to be returned after the completion of convocation.
    • Seat number assigned to you.
  • You must participate in the rehearsal scheduled on 12th July 2025 from 02:30 pm.
  • You will not be allowed to attend the main ceremony on 13th July 2025 if you miss the rehearsal.
  • Assemble at BITS auditorium at 1:30 pm on 12th July 2025 for a full dress rehearsal wearing your gown.
  • You will not be allowed to go out before the completion of rehearsal.
  • Only the registered graduating students will be allowed to enter the BITS auditorium.

Registered Student’s Entry plan to the auditorium on 13th July 2025

  • The entry to the auditorium will start from 07:00 am on 13th July 2025.
  • You must be seated in the auditorium by 08:15 am at the latest. The entry will be closed at 08:15 am.
  • No further request in this regard will be entertained.
  • There will be a security check at the entrance of the auditorium. Mobile phones, cameras, food, beverages, etc. SHOULD NOT BE TAKEN into the auditorium.
  • You must show your student’s pass at the auditorium entrance.
  • Before entering the auditorium, you must wear the Convocation Gown and the Lanyard with your name.
  • You have to enter the auditorium through the FD-2 entrance only.
  • Faculty/student volunteers of your discipline will guide you to your seat.
  • Follow the proceeding as demonstrated during the dress rehearsal.
  • Arrangements have been made for the accompanying person(s) to view the convocation proceedings LIVE in the JC Chaudhry NAB Auditorium, Room No. 6109, and other classrooms.

The Convocation ceremony (13th July 2025)

  • On entering the academic procession into the Convocation Hall, all assembled will rise from their seats and remain standing until the procession members have taken their seats.
  • The candidate will go to the dais when the respective HoD calls them, get the degree certificate and leave the dais to occupy their seat. Follow the route as per the instructions.
  • After the distribution of the degree certificate, the medallists will be felicitated by the Chief Guest.
  • An oath will be administered by the Gold medallist. All the recipients of degrees will stand and repeat the oath word by word.
  • The convocation will formally close after the National Anthem, followed by the departure of academic procession.
  • On the procession leaving the Convocation Hall, all assembled will rise from their seats and remain standing until the members forming the procession leave the hall.
  • You have to maintain the decorum of the ceremony in the auditorium till the convocation procession leaves the hall.
  • The ceremony will be captured by professionals. All photographs and videos of the event will be uploaded to the convocation website. Those who wish to have print versions may contact the photographer after the convocation.
  • YOU WILL STRICTLY BE NOT ALLOWED TO GO OUT (for drinking water etc.) DURING CONVOCATION PROCEEDINGS.
  • After the procession leaves the auditorium, proceed to the respective mess (as indicated on your lunch coupon) for the convocation lunch.
  • Return your convocation gown at the same collection counter and obtain your Rs. 1000/- deposit.
  • The gown counters will be functional from 3:30 – 6:00 pm.
